Digital Document Conversion Operations Manager

Description

SUMMARY OF POSITION: 

Responsible for managing all aspects of the Data Federal's Electronic Records Management production division providing copy, scanning, and other reprographic services.  Direct line responsibility for workflow, equipment maintenance and department personnel.  Accountable to achieve established production and financial objectives, while ensuring quality and deadline compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

•         Copying, scanning, binding, oversize reproduction and mounting, creation of load files, document branding, OCR, and uploading/downloading of data
•         Maintain the standard of 99% error free work and deadline compliance
•         Ensure accurate job information and pricing is entered into the PTS system at check-in
•         Timely and accurate reporting of key information to other departments and management
•         Staffing, training, development, and supervision of an effective production staff
•         Maintain performance accountability and procedural controls
•         Cultivate a client centric approach to problem solving that also protects the company’s interests
•         Proactively plan for staffing levels, equipment, and supplies to meet the demands of current and anticipated work volume
•         Meet or exceed company standards for cost containment for labor, supplies, paper, and equipment
•         Equipment leases and maintenance
•         Maintain the production area in a neat, clean, and well-organized manner
•         Maintain a positive and professional working relationship with personnel, other departments, clients, and vendors

Qualifications

SKILLS/QUALIFICATIONS AND COMPETENICIES

• Excellent computer skills
• Skilled in various Scanning and OCR systems
• Proficient performing and organizing research and data collection
• Demonstrates desire for ongoing growth and self-improvement and encourages others to do the same
• Proven customer service and quality focus with problem solving and conflict resolution skills

TECHNICAL EXPERTISE

• EBS images
• File conversion
• Create searchable/endorsed PDF’s from scanned images
• Import media into scan project, while scan is in progress
• Create text and load files from scanned images

EDUCATION and/or EXPERIENCE

• Associated Degree or higher
• Minimum of three-five years’ experience in logistics and production environment
• Minimum of two years of successful supervisory experience

OTHER REQUIREMENTS:

• Ability to maintain confidentiality of client and employee information
• Ability to manage multiple tasks and achieve deadlines under pressure
• Willingness to support company directives even when in disagreement
• Demonstrates a sound work ethic, including timely adherence to work schedule and attendance
• Willingness to work overtime as needed to meet deadlines

PHYSICAL DEMANDS:

• Must be able to lift 50 lbs.
• Considerable use of arms and legs and moving whole body, such as climbing, lifting, balancing, walking, and stooping.
• Extended periods of sitting and computer work.
